Pricing
Software pricing that is clear before you commit
We do not hide behind vague estimates or surprise invoices. Here is exactly how our software pricing works for Nexora, custom software, AI projects, software licensing, cybersecurity, websites, SEO and support, what changes the cost, and how to get a quote built around your real situation.
Our approach
Why we quote instead of publishing a price list
Software is not a fixed product like a box on a shelf. Two companies buying the same module can have very different needs: one site or twelve, twenty users or two thousand, a clean spreadsheet to import or ten years of messy records. A single list price would either overcharge the small user or undercharge the large one, and it would hide the things that really drive cost.
So our software pricing starts with a few questions, followed by a written quote that you can read in five minutes. It states what is included, what is not, what you pay and when. If something changes during the project, we tell you before any extra work is done, not afterwards. Our principle for software pricing is simple: plain language, clear numbers and no promises we cannot keep.
Every quote is free, carries no obligation, and comes with a person you can call to ask questions about it.
Six ways we price
Software pricing for each part of ApexGenTech
Different kinds of work are priced in different ways, because they behave differently.
Nexora: licensed per module
Each Nexora module is licensed individually, so you pay for what you use and switch on more later without migrating. The mix of modules, number of sites and number of users shape the quote.
Custom software pricing: scoped projects
We agree a written scope, break the work into stages, and quote each stage so you can see progress and cost together and stop or change direction at a clear point.
Web and SEO pricing: projects and retainers
Websites are quoted as projects. SEO and digital marketing are usually monthly retainers with clearly stated deliverables and honest reporting on results.
Support pricing: tiered agreements
Support is offered in Standard, Priority and Critical tiers with set response times, so you choose the level of cover that matches how important each system is.
Software licensing: vendor pricing
Licences from Microsoft, Google, Oracle, SAP, Adobe and others follow each vendor’s price list and terms. We quote them clearly and show what each seat costs per month or year.
Cybersecurity pricing: fixed scopes
Penetration tests, security audits and training programmes are quoted against a written scope, so you know the price before any testing begins.
The modules
Nexora modules you can license
Nexora software pricing is per module: each row is licensed individually. Open a module to see what it does.
| Module | What it covers | Learn more |
|---|---|---|
| Help Desk | Internal tickets for every department, with boards, escalation and email to ticket. | See Help Desk |
| Asset Management | One asset register for equipment and software licences, with warranty and expiry reminders. | See Asset Management |
| Fleet Management | Vehicles, servicing, documents and driver licences, with reminders before anything runs out. | See Fleet Management |
| Employee Transport | Staff routes, stops, pickup times and seat booking in one place. | See Transport |
| Safety (Observations, Incidents, Inspections) | Hazard observations, incident investigation and QR scanned inspections, sharing one evidence trail. | See HSE |
| Audits | Plan audits against your standards, raise findings, and close them only with a root cause and a corrective action. | See Audits |
| Work Permits | Area aware multi stage permit approval, with permits that expire on their own. | See Work Permits |
| Visitors | Pre register, invite with a QR code, check in and check out, with overstay reminders. | See Visitors |
| Gate Keeper | Control what leaves and enters the site, with approvals and returnable item chasing. | See Gate Keeper |
| Maintenance | Preventive schedules that generate work orders automatically, linked to the asset. | See Maintenance |
| Training | Courses, exams, learning paths and certificates with public verification and expiry tracking. | See Training & LMS |
| Cafeteria | Kiosk based meal attendance and consumption tracking. | See Cafeteria |
Reports, settings and the shared assets register come with the modules that need them.
What affects cost
What changes the price of a quote
Knowing what moves software pricing helps you plan, and helps you compare us honestly with anyone else. These are the factors we weigh, and you can influence most of them.
We tell you which choices are saving you money and which are adding to it, so you can make those choices yourself instead of discovering them on an invoice.
Six things that drive cost:
- Scope: how many modules, features or screens, and how much is configuration versus genuinely new building.
- Size: the number of sites, departments and users, and how many records need to come across from your current system.
- Integrations: every system we connect, such as SAP, a CRM or an accounting package, adds design and testing work.
- Timeline: a firm launch date that needs more people working at once costs more than a flexible one.
- Support level: the tier of cover you choose, from business hours to round the clock.
- Training and change: how many people we train and how much help you want with adoption.

No surprises
How we keep costs honest after the quote
A fair quote is only half of honest software pricing. The other half is what happens when reality turns out to be more complicated than the plan, which it often does. We handle that openly.
When we agree a scope, we write down what is in and what is out. If you ask for something that falls outside it, we tell you before starting, explain what it would add and let you choose whether to include it, swap it for something else or leave it for later. Work is delivered in small steps, so you see progress early and can redirect before large amounts of money have been spent.
Support and ongoing work are priced by agreement and never switched on silently. If a support request would need work outside your agreement, we quote it first. The aim is that you can always predict what your next invoice will say.

Licensing and security
Software licensing and cybersecurity pricing
Software licensing is the one part of our software pricing that we do not set ourselves. Microsoft, Google, Oracle, SAP and the other vendors publish their own price lists and change them from time to time; the official Microsoft licensing site is a good example. What we add is advice on the right edition, term and quantity, so the price you pay matches what your team really uses.
Cybersecurity work is priced against a written scope. A penetration test is quoted by the number and size of systems tested, a security audit by the size of your organisation and the standard we audit against, and security awareness training by the number of staff and the length of the programme. You always see the price before we start.
Value
Judging value, not just price
In software pricing, the cheapest quote is rarely the cheapest outcome. A system that nobody uses, that cannot be supported or that traps your data costs far more than its price tag. When you compare options, including ours, it helps to ask a few questions beyond the number.
We are glad to answer every one of these about our own work, and we would rather lose a sale to an honest competitor than win one by being vague.
Five questions to ask any supplier:
- What exactly is included, and what would cost extra later?
- Who supports it after launch, how quickly, and what is that cost?
- Who owns the data and the code, and how easily can I leave?
- How long until my team is genuinely using it?
- What does it replace, and what is that costing me today?
Payment
Software pricing, billing and payment
Nexora subscriptions are invoiced in advance for the billing cycle in your order form, typically monthly or annual, and are due within 30 days of invoice unless the order form says otherwise. Custom projects are invoiced against the stages we agree in the proposal, so you pay as the work is delivered rather than all at once. Support and retainers are billed on the schedule in their agreement.
Every part of our software pricing is written down before you commit, in plain language, including the points where costs could change and what would cause them. If you have your own procurement process, we are happy to work within it. The full conditions are in our terms of service, and the FAQ covers common pricing questions.

FAQ
Pricing FAQs
Do you publish software pricing?
We do not publish list prices for Nexora or custom work, because scope, sites and users vary so much. We give you a free written quote built around your situation, in plain language, with no obligation.
How is Nexora licensed?
Each module is licensed individually. You pay for the modules you use and can switch on more later without changing systems. Reports, settings and the shared assets register come with the modules that need them.
Is a quote really free?
Yes. Quotes and first consultations are free and carry no obligation, because clear software pricing should not cost you anything to see. We would rather you decide with full information than feel pressured.
Can the price start small and grow?
Yes. For Nexora, start with the modules you need and add more later. For custom work, we deliver in stages so you can stop, change direction or continue at clear points.
What if the project grows beyond the quote?
We tell you before doing any extra work, explain what it adds and let you choose. You never receive an unexpected bill for work you did not approve.
What is the price of support plans?
Support is offered in Standard, Priority and Critical tiers. Cost depends on the systems covered and the tier you choose, and we quote it alongside your project or on its own. See our Support and SLA page for what each tier includes.
How is software licensing priced?
Software licensing follows each vendor’s own pricing and terms. We quote every licence clearly, explain monthly and annual options, and point out where a different plan would cost less.
